Terms governing access to and use of the PluraSpace service · Effective date: August 29, 2026 · Version 1.0
These Terms of Service ("Terms") govern access to and use of PluraSpace, a software service developed, owned, and operated by Pluragon IT Inc. ("Pluragon", "we", "us", or "our"). PluraSpace is offered under the brand PluraSpace™ by Pluragon™.
By creating an account, accessing a PluraSpace space, starting a trial, purchasing a subscription, or otherwise using the service, you agree to these Terms. If you use PluraSpace for an organization, you represent that you have authority to act for that organization to the extent required for your use.
You must have legal capacity to enter into a binding contract in your jurisdiction to purchase or establish a PluraSpace account. If you do not have that capacity, a parent, legal guardian, or other legally authorized person must establish or purchase the account on your behalf. Users may also access PluraSpace through an organizational account when authorized by that organization.
PluraSpace is designed to work with a Microsoft 365 tenant and Microsoft Graph. Each customer space must have at least one administrator. The customer may configure additional administrators. A space may support multiple authorized users, subject to the limits displayed in the service or applicable plan; the current standard limit is up to 100 users per space.
Pluragon may offer a free trial for the period shown at signup. Trial length and features may change from time to time. Under the current trial model, no payment method is required to start the trial and the trial does not automatically convert into a paid subscription.
If the trial ends without an active paid subscription, the space is downgraded. Non-administrator access is restricted, while an administrator retains access to purchase a subscription and reactivate the space.
Paid subscription options, prices, billing intervals, discounts, and included features are shown on the pricing or checkout page at the time of purchase. Pluragon may change pricing or available plans. Existing subscribers will receive any notice of renewal price changes required by applicable law or contract.
Unless expressly stated otherwise at checkout, subscription charges are billed in U.S. dollars. Applicable sales taxes, VAT, GST/HST, or similar taxes are added where required by law.
Subscription billing, invoicing, and payment processing are handled by Stripe. Pluragon does not store complete payment-card information or customer billing-address information in the PluraSpace application. Stripe may collect and process information under its own terms and privacy practices.
Paid monthly and annual subscriptions automatically renew for successive billing periods until cancelled. By purchasing a recurring subscription, you authorize the applicable charges and taxes to be processed through Stripe using the payment method associated with the subscription.
You may cancel a paid subscription through the available billing controls. Cancellation takes effect at the end of the current paid billing period, and paid access continues until that period ends.
If a renewal payment fails and the previously paid billing period has ended, the space is downgraded immediately to administrator-only access. The space is not immediately deleted. An administrator may restore access by purchasing or reactivating an eligible subscription.
If a paid subscription lapses or payment cannot be completed, Pluragon may retain the space and its service data for up to 90 days to allow reactivation. If an administrator intentionally deletes a space, Pluragon may retain the space configuration and service data for up to 30 days to allow recovery. After the applicable period, active service data is scheduled for deletion and later use may require full reconfiguration.
Limited information may be retained longer where required for tax, legal, fraud-prevention, security, dispute-resolution, or compliance purposes. Residual copies in system backups may remain until they expire through the normal backup lifecycle and are not used for ordinary service operation.
If plan upgrades or downgrades are offered, billing adjustments may be prorated for the current billing period. Except where required by applicable law, amounts already paid are non-refundable. Pluragon may issue a credit or refund in exceptional circumstances at its discretion.
PluraSpace relies on Microsoft 365, Microsoft Graph, Microsoft Azure, Stripe, and other service providers to operate. The customer is responsible for maintaining any Microsoft 365 licenses, permissions, tenant configuration, or third-party accounts required for PluraSpace to function.
PluraSpace is registered or authorized as an application against the customer's primary Microsoft 365 tenant and uses Microsoft Graph to retrieve information necessary for the service. PluraSpace does not store Microsoft authentication credentials or tokens in its application database.
Customers and authorized users retain their rights in information they provide to PluraSpace. Pluragon may process that information only as reasonably necessary to provide, secure, support, maintain, and improve the service, comply with instructions, and meet legal obligations.
PluraSpace may store account details, organizational information, room-booking information, organizer and attendee information where applicable, optional booking notes, configuration data, and administrative audit records. PluraSpace does not provide general-purpose file storage.
Pluragon handles personal information in accordance with the PluraSpace Privacy Policy below. Where Pluragon processes personal information on behalf of an organizational customer, the PluraSpace Data Processing Addendum may also apply.
You must comply with the PluraSpace Acceptable Use Policy. Unless Pluragon expressly agrees in writing, PluraSpace must not be used to upload or process highly sensitive regulated information such as health records, complete payment-card data, government identification documents, or other data requiring specialized regulatory controls that Pluragon has not agreed to provide.
PluraSpace, including its source code, software, design, interfaces, documentation, branding, graphics, and related proprietary materials, is owned by Pluragon IT Inc. or its licensors and is protected by applicable intellectual-property laws. No ownership rights are transferred to you.
Except where applicable law does not permit the restriction, you may not copy, modify, distribute, sell, sublicense, white-label, reverse engineer, decompile, circumvent technical controls, scrape through unauthorized means, or use PluraSpace to develop or benchmark a competing product without Pluragon's prior written permission.
Pluragon uses reasonable efforts to operate PluraSpace reliably but does not provide a formal uptime guarantee or service-level agreement unless expressly agreed in writing. The service may be unavailable because of maintenance, upgrades, security measures, third-party failures, Internet or cloud-service issues, or circumstances outside Pluragon's reasonable control.
Scheduled maintenance may temporarily make the service unavailable. Pluragon will provide advance notice where reasonably practical. Features may be added, changed, replaced, or discontinued for technical, security, operational, legal, or commercial reasons.
PluraSpace support is available through support@pluraspace.com. Support availability and response times are not guaranteed unless separately agreed in writing.
Pluragon may restrict or suspend access where reasonably necessary because of non-payment, security risk, suspected fraud, unlawful activity, material breach of these Terms, misuse of the service, sanctions or export restrictions, or a need to protect PluraSpace, customers, users, or third parties. Where reasonably practical, Pluragon will provide notice and an opportunity to address the issue.
PluraSpace may be made available internationally, subject to applicable laws, sanctions, export-control requirements, payment limitations, technical availability, and operational considerations. Availability in a country does not mean that Pluragon represents the service is appropriate for every local regulatory use case.
To the maximum extent permitted by law, PluraSpace is provided on an "as available" basis. Pluragon does not warrant that the service will be uninterrupted, error-free, or suitable for every specific purpose. Nothing in these Terms excludes warranties, remedies, or consumer rights that cannot legally be excluded or limited.
To the maximum extent permitted by law, Pluragon will not be liable for indirect, incidental, special, exemplary, punitive, or consequential damages, or for lost profits, lost revenue, loss of business opportunity, or loss of goodwill arising from or relating to PluraSpace.
Except for liability that cannot legally be limited, Pluragon's aggregate liability arising from or relating to PluraSpace or these Terms will not exceed the amounts paid by the applicable customer for PluraSpace during the 12 months immediately preceding the event giving rise to the claim.
To the extent permitted by applicable law, an organizational customer will indemnify and hold Pluragon harmless from third-party claims arising from Customer Data that violates third-party rights, unlawful use of PluraSpace, or a material breach of these Terms by the customer or its authorized users.
If you voluntarily provide product suggestions or feedback, you permit Pluragon to use that feedback to improve or develop its products and services without payment or restriction. This does not transfer ownership of Customer Data to Pluragon.
Pluragon may update these Terms from time to time. Material changes affecting existing paid subscribers will be communicated through the service, by email, or by another reasonable method where required. The current version will show its effective date.
These Terms are governed by the laws of the Province of Nova Scotia and the applicable federal laws of Canada, without regard to conflict-of-law principles. Subject to mandatory rights that apply in a customer's jurisdiction, disputes relating to these Terms or PluraSpace will be submitted to the courts of Nova Scotia, Canada.
These Terms, together with the Privacy Policy, Acceptable Use Policy, Subscription, Renewal and Cancellation Policy, any applicable order form, and any separately agreed written terms, form the agreement governing use of PluraSpace. If any provision is unenforceable, the remaining provisions remain in effect.

How Pluragon IT Inc. handles personal information in connection with PluraSpace · Effective date: August 29, 2026 · Version 1.0
This Privacy Policy explains how Pluragon IT Inc. ("Pluragon", "we", "us", or "our") collects, uses, discloses, stores, and protects personal information in connection with the PluraSpace website, application, subscriptions, support, and related services. It applies to website visitors, customers, administrators, authorized users, and people who communicate with us about PluraSpace.
PluraSpace is developed, owned, and operated by Pluragon IT Inc., a Nova Scotia company. PluraSpace is not a separate legal entity.

The PluraSpace application does not intentionally store phone numbers, customer billing addresses, user country/region, general device/browser profiles, or IP addresses as part of its normal application data. Infrastructure and third-party services may nevertheless process technical information, including network identifiers, as necessary to deliver, secure, or measure their services.
PluraSpace does not provide general-purpose file or document upload/storage functionality.
PluraSpace is registered or authorized as an application against the customer's primary Microsoft 365 tenant. It uses Microsoft Graph to obtain information required for PluraSpace to function. PluraSpace does not store Microsoft authentication credentials or tokens in its application database. Customers control their Microsoft 365 tenant, resources, permissions, and authorized users.
Stripe processes subscriptions, billing, invoices, payment methods, and billing addresses. Pluragon does not store complete payment-card information or billing-address information in the PluraSpace application. Pluragon may receive limited subscription, transaction, customer, or payment-status identifiers from Stripe as needed to provide the service and maintain records.
PluraSpace uses Google Analytics for website analytics. Non-essential analytics cookies are subject to the cookie-consent controls presented on the website. Visitors may reject non-essential analytics cookies while necessary cookies continue to operate. Additional details are provided in the PluraSpace Cookie Policy.
PluraSpace may use Azure OpenAI, OpenAI, and Anthropic behind the scenes for internal product functions. PluraSpace customer content, booking information, and other Customer Data are not sent to these AI providers. Pluragon does not use PluraSpace Customer Data to train its own AI models and does not permit third-party AI providers to train on PluraSpace Customer Data.
Pluragon may disclose or make information available to service providers only as reasonably necessary to operate, secure, support, bill for, or maintain PluraSpace. Current key providers include Microsoft for Azure, Microsoft 365, Graph, email, and platform monitoring; Stripe for billing and payments; Google Analytics for consent-based website analytics; and SuperOps for support ticketing.
Pluragon may also disclose information where required by law, to protect legal rights or security, in connection with a corporate transaction, or with the individual's or customer's authorization.
The primary PluraSpace production environment, production database, and backups are hosted in Microsoft Azure in Canada, using the Canada Central and Canada East regions. Some service providers may process information outside Canada. When information is processed in another country, it may be subject to the laws of that jurisdiction.
Pluragon retains personal information only for as long as reasonably necessary for the purposes described in this Policy, to provide the service, or to meet legal and operational requirements.
Pluragon uses administrative, technical, and organizational safeguards appropriate to the nature of the service and information processed. PluraSpace is hosted on Microsoft Azure in Canada and uses standard Azure-native operational monitoring. No online service can guarantee absolute security.
Depending on your jurisdiction, you may have rights to request access to personal information about you, request correction, request deletion in certain circumstances, withdraw consent where processing is based on consent, object to or restrict certain processing, or make a complaint to an applicable privacy regulator.
Privacy and access requests can be made manually by contacting info@pluragon.com. We may need to verify your identity or authority before responding. We will respond within the time required by applicable law.
Marketing emails and newsletters are separate from essential service communications. PluraSpace uses a separate opt-in for marketing where required. You may unsubscribe from marketing communications at any time using the unsubscribe mechanism provided in the message. Essential service communications, such as account, subscription, booking, security, and operational notices, may still be sent where necessary to provide the service.
PluraSpace is not directed specifically at children. A person must have legal capacity to enter into a binding contract in their jurisdiction to purchase or establish an account, or must have a parent, legal guardian, or other legally authorized person do so on their behalf. Authorized users may also access the service through an organizational account.
We may update this Privacy Policy as PluraSpace, our service providers, or legal requirements change. The current version will show its effective date. Material changes will be communicated where required by applicable law.
